Position Description:
Senior Marketing Automation and Content Specialist owns PrestigePEO's email marketing and marketing automation program from strategy through execution, and creates the content and communications that power it. Working in Salesforce Marketing Cloud Account Engagement (formerly Pardot) and Salesforce CRM, this role builds and optimizes the nurture programs, campaigns, and lead management processes that engage brokers, clients, and prospects and move them through the funnel. The ideal candidate is equal parts platform expert and skilled writer: someone who can build an Engagement Studio program, diagnose a CRM sync issue, and write a compelling broker newsletter or client compliance update in the same week. This role also serves as the Marketing team's primary Salesforce resource, supporting configuration, process automation, reporting, and user adoption. This is a hybrid position based in our Melville, NY office and is open to local candidates only.

Essential Duties and Responsibilities:

Email Marketing & Automation

  • Own the strategy, build, and execution of email marketing and automation programs in Salesforce Marketing Cloud Account Engagement (formerly Pardot), including Engagement Studio programs, automation rules, completion actions, and dynamic lists.
  • Design lead nurturing, onboarding, re-engagement, and drip programs tailored to broker partners, prospects, and existing clients that move leads through the funnel.
  • Build and maintain responsive email templates, landing pages, forms, and form handlers, applying personalization, dynamic content, and merge fields to increase engagement.
  • Partner with Sales leadership to define and regularly refine lead scoring and grading models, lifecycle stages, and lead assignment rules, ensuring a clean, timely handoff of marketing-qualified leads.
  • Maintain segmented lists and prospect data in Account Engagement and Salesforce, ensuring accurate targeting and compliance with CAN-SPAM, applicable state privacy laws, and other regulations as applicable.
  • Protect deliverability and sender reputation by managing email authentication (SPF, DKIM, DMARC), list hygiene, bounce and unsubscribe handling, and mailbox-provider bulk sender requirements.
  • Manage the Account Engagement–Salesforce connector and campaign structure (Salesforce campaigns, connected campaigns, and campaign influence) so that marketing activity is accurately reflected in the CRM.
  • Develop and maintain an email marketing calendar to ensure timely execution of campaigns that support broader marketing strategies.

Content & Communications Development

  • Write, edit, and proofread marketing content, including email copy, newsletters, blog posts, landing pages, case studies, web copy, and sales enablement materials for PEO clients, prospects, and broker partners.
  • Develop client and broker communications, such as service announcements, benefits and open enrollment messaging, event and webinar promotions, and HR and compliance updates, translating complex topics into clear, accurate, and accessible language in coordination with internal subject-matter experts.
  • Create high-quality, engaging content tailored to specific audience segments and stages of the buyer journey, ensuring alignment with brand voice and marketing objectives.
  • Develop and maintain a content calendar in coordination with the email marketing calendar to ensure consistent, timely publishing.
  • Establish and uphold brand voice, tone, and style guidelines across all written materials.
  • Optimize written content for search (SEO) and audience engagement, using performance data to refine messaging and topics.
  • Repurpose long-form content (e.g., whitepapers, webinars, blog posts) into email series, social posts, and other campaign assets.
  • Use AI-assisted writing and campaign tools (such as Salesforce Einstein and Agentforce features or approved generative AI assistants) responsibly to accelerate drafting and testing, applying strong editorial judgment to all output.
  • Fact-check and proofread all content for accuracy, grammar, and consistency before publication.

Salesforce Administration & CRM Support

  • Serve as Marketing's primary Salesforce resource, configuring and maintaining objects and fields, validation rules, page layouts, user permissions, and supported third-party integrations in coordination with IT and other system administrators.
  • Build and maintain flows and process automations that streamline data entry, approvals, and repetitive tasks for Sales, Marketing, and other users.
  • Partner with Marketing and Sales to design and maintain reports and dashboards that give leadership visibility into pipeline, campaign activity, and client and broker relationships.
  • Ensure data integrity through regular audits, deduplication, and consistent data hygiene standards across the CRM and Account Engagement.
  • Gather requirements from stakeholders across the company and translate business needs into scalable Salesforce solutions that users will adopt.
  • Champion CRM best practices, reinforcing consistent data entry habits and effective use of platform functionality.
  • Support users with Salesforce onboarding, and maintain written and video training materials and system documentation.
  • Troubleshoot Salesforce and Account Engagement issues, including sync errors, and resolve or escalate them in a timely manner.
  • Stay current on Salesforce releases, including Account Engagement and Marketing Cloud Next capabilities, and evaluate new features and AppExchange tools relevant to a PEO environment.

Analytics, Testing & Reporting

  • Analyze email and content performance metrics (deliverability, click-through, conversion, and engagement) and implement data-driven improvements, recognizing the limitations of open-rate data caused by mailbox privacy features.
  • Conduct A/B testing on subject lines, content, send times, and calls to action to maximize campaign effectiveness.
  • Track KPIs including list growth, marketing-qualified leads, MQL-to-SQL conversion, marketing-sourced and influenced pipeline, deliverability and sender reputation, and content engagement.
  • Build campaign influence and attribution reporting in Salesforce, and present findings and actionable recommendations to Marketing leadership and executive stakeholders.
  • Stay current on email marketing and content trends, tools, and best practices to continuously improve campaigns and strategies.

Collaboration & Support

  • Collaborate with Sales, Broker Relations, Client Services, design resources, and leadership to ensure cohesive messaging and branding across all campaigns.
  • Support broader marketing initiatives by integrating email and written content with other digital channels, including social media and web.
  • Manage multiple projects and deadlines simultaneously.
  • Maintain strict confidentiality of all client, employee, and company information.
  • Perform additional duties and special projects assigned in support of the Marketing department and organizational goals.
Required Qualifications:
  • Education: Bachelor's degree in Marketing, Communications, English, or a related field, or equivalent professional experience.
  • Years of Work Experience: 5+ years of professional experience in email marketing, marketing automation, or content marketing, including at least 3 years of hands-on experience administering Salesforce Marketing Cloud Account Engagement (Pardot) in a B2B environment; PEO, HR services, benefits, or insurance experience is a strong advantage.
  • Certifications/Licenses: Salesforce Certified Marketing Cloud Account Engagement Specialist required, or the ability to earn it within six months of hire; Account Engagement Consultant certification preferred.
  • Extensive, hands-on experience with Salesforce Account Engagement (formerly Pardot) is required, including Engagement Studio programs, automation rules, dynamic content, forms, form handlers and landing pages, lead scoring and grading, and Salesforce connector sync and troubleshooting.
  • Working knowledge of HTML and CSS for building and troubleshooting email templates and landing pages.
  • Excellent writing, editing, and proofreading skills; a portfolio or writing samples demonstrating range across formats (e.g., email, long-form, client communications) must be submitted with your application.
  • Demonstrated ability to analyze campaign performance, connect marketing activity to pipeline, and translate data into actionable improvements.
  • Working knowledge of Salesforce configuration, including objects and fields, validation rules, flows, reports, and dashboards.
  • Strong organizational and project management skills, with the ability to balance multiple priorities and deadlines.
